Create a probation policy
A policy sets how long probation lasts and what happens at the end of it.
- Open People → Settings → Probation Policies and select + Create Policy.
- Enter a Policy Name, the Duration (days) and how often to review progress (Review Frequency).
- Optionally set the dates it applies from and to, terms and conditions, and the work modes it covers.
- Turn on Auto Confirmation to confirm employees automatically when probation ends.
- Turn on Allow Extension to let probation be extended, and set how many times and for how many days.
- Choose who the policy applies to: the entire organisation, or specific companies, departments, units or employees.
- Select Create Policy.
Place an employee on probation

- Open People → Probation and select + Place on Probation. Or, from the employee's profile, open the History tab and select + Start Probation.
- Choose the Employee, the Probation Policy and the Start Date, and add any remarks.
- Select Place on Probation.
If probation needs approval, it goes to the approvers first. Set this up under People → Settings → Probation Approvals.
Confirm an employee
When probation ends, open People → Probation, find the employee and select Confirm, then Confirm Probation. With Auto Confirmation on in the policy, KalHR does this for you.
Before confirmation, you can Edit the start date and remarks, or Delete a record created by mistake.
