Anyone who manages KalHR for your organisation needs an admin user account. Employees don't: they are invited when you add them as employees, and use the employee app.
Both pages are under More → Access Management.
Invite an admin user
Access Management: users
- Open More → Access Management → Users and select Add Admin User.
- Choose the Access Level:
- Group Admin: everything, in every company. Give this to very few people.
- Company Level: only the companies you select, and only what their roles allow.
- Choose Existing Account to give an employee admin access, or New Account to invite someone by first name, last name and email. Only employees who have set up the mobile app appear under Existing Account.
- For Company Level users, select their roles.
- Select Send Invitation.
Invitations that haven't been accepted yet are listed under Pending Invites.
Change or remove someone's access
On the Users tab, open the menu on a user's row:
- Manage Access changes their access level, companies or roles.
- Remove takes away their admin access.
Create a role
A role decides what someone can see and do, module by module: for example a Payroll Officer who manages payroll but can only view employees.
Roles & Access
- Open More → Access Management → Roles & Access and select Create role.
- Enter a Role name and a description.
- For each module, choose the access the role needs. Leave everything else at no access.
- Select Create role, then Confirm.
To change a role later, open it, adjust the access and select Save changes. Everyone with the role gets the change.
Tip
Give each person only what their job needs. Payroll, bank details and disciplinary cases in particular should be limited to the people responsible for them.
